Corporate Technical Services - Support Officer - Based at Lee Valley
GLL is currently recruiting a CTS Support Officer to join our Corporate Technical Service Team in The Facility Management Department. As a CTS Support Officer you will be passionate about the leisure industry and the role.
A CTS Support Officer role is highly varied, from ensuring the Corporate Compliance systems are updated daily, assets assigned and updated accordingly, workflows are generated as required working with the AFM’s and RFM's to‿
* Follow up and chase track records of required remedial works. Support with Contractors and GM’s to understand the need of our customers to respond and facilitate speedy resolutions to all esquires.
* Support National & Area Facilities Managers (NFaM) & (AFM’s) in project management, minute taking, folder updating, and planner management. (Travel will be required)
* Support in collating information and documentation for all new contract tenders to ensure best practice is maintained and best value is achieved.
* Raising Purchase orders (P/O’s) on GLL’s procurement system (Axapta), Liaising with GLL Managers and contractors to ensure P/O’s are receipted, recorded and invoices updated on the Life Cycle Maintenance (LCM) spreadsheet Trackers.
* Liaise with contractors to ensure Planned Preventative maintenance (PPM) certificates & invoices are received and recorded on GLL’s spreadsheet tracker.
* General Minute taking for a variety of meetings, preparing meeting slides and PowerPoint presentations, making meeting room bookings.
* Completing facilities Audits (Travel Required)
* Undertake industry standard training.
* Maintain an up to date list of contractor and facilities staff contact details.
* Maintaining the Regions Risk Register system.
* Organising and recording training courses
* Management & Recording of GLL’s insurance system (Crimson)
* General Administrative duties.
* Will line manage the admin team.
Your own development is just as important, as we’ll train you to sharpen your skills in the CTS Support Officer role which includes your self development to fully participate and engage in all Facility management Department (FMD) training and on-going assessment of performances. Keep abreast of trends and developments within the industry and discuss own training needs with the Regional Facilities Managers.
The CTS Support Officer will be able to act in accordance with, and actively promote all GLL policies and standards, and undertake any other duties commensurate with the post’s level of responsibility.

* Responsible for the efficient and effective control of the day to day requirements of the role and services of GLL, ensuring that all the systems are maintained.
* To maintain all ‘good housekeeping’ systems to effect improvement plans for energy conservation and resource maximisation.
* Supervision of all staff, effectively and efficiently allocating work and carrying out any other duties as required commensurate with posts level of responsibility.
* Ensure all members of the team are effectively supervised and that all people management procedures are effectively operated within the team (e.g. recruitment, absence reporting, qualification maintenance, appraisals, discipline etc.
