GLL is looking for an administrator (Senior Library Assistant)  to join the Greenwich Library Admin Team, based in Middlegate House, working 27 hours a week. There's never been a more exciting time to join us. This is an administration job, supporting all the libraries across the Royal Borough of Greenwich. You will work one Saturday morning every 4 weeks.

 

The aim of the administrator role  is to ensure the library service is delivered every day by co-ordinating the rotas of all the libraries in partnership working with the local managers and communicating with all staff across Greenwich. You will also providing other admin support for all the libraries, in order for them to offer a professional and customer focused service every day. No day is the same!

 

What you’ll do: 

 

  • Maintain the timetables ensuring staff are allocated to all libraries to ensure all services open to scheduled hours. 

  • Plan weekly rotas in advance 

  • Process Annual Leave requested 

  • Communicate to staff across the Borough 

  • Find cover for sickness/ emergency leave as required daily 

  • Record and report sickness/ Collect supporting paperwork 

  • Manage Purchase Orders, paying Invoices to our suppliers and raising invoices  

  • Ordering items, such as stationery and activity materials, for all libraries 

  • Manage an admin email in box and answer staff questions 

  • Provide other specialist and support areas of the service as required.

What you need: 

  • Strong administration Skills 

  • A really focus on customer service 

  • Great communication and interpersonal skills. 

  • Be able to build working relationships with all colleagues, across all libraries 

  • A can do attitude 

  • Good understanding of IT packages such as Microsoft Office especially Excel 

  • Excellent time management 

  • Ability to work under pressure 

  • Be able to use your own initiative 

  • A good team player
